2025 RRCA Membership Join/Renew Is Open

The 2025 RRCA membership join/renew process is now open. 

Membership Term:  Annual membership in the RRCA, including insurance coverage, begins on December 31st at 12:00 AM and ends at 11:59 PM on December 30th of the following year. This is essentially a calendar year term that ensures New Years Eve activities/events are covered by the incoming year insurance policy/membership term. Clubs and events must renew their membership prior to December 31st for any New Years Eve activities to be covered. Membership Dues for 2025

  • Clubs under 44 households will be charged a $100 flat fee
  • Clubs over 44 households will be charged $2.30/household (this is the same rate as 2024)
  • No increase in dues for Event(s) members for 2025
  • No increase in dues for RRCA Certified Coaches & Individual Members
  • Review the dues rates for clubs
  • Review dues rates for event(s)

Insurance Program for 2025

  • There is no increase for Directors & Officers Insurance for nonprofit organization members.
  • An item that was a going issue in the 2024 policy was the level of Sexual Abuse and Molestation (SAM) coverage being inadequate for many members when obtaining permits for events held on publicly-owned spaces (parks, schools, universities, etc.). For 2025, the SAM coverage will increase from $500,000 to $1,000,000. Keep in mind, SAM coverage is not only about youth, it extends to claims of adult SAM, as well.
  • This coverage improvement will only cost an additional $0.06 per household for club members.
  • For events under 500 participants/volunteers, the increase is $4.
  • For events over 501 participants/volunteers, the increase is $0.01.
  • All 2025 insurance rates are posted on the RRCA website for clubs and event(s).
  • No additional changes have been made to the General Liability Policy beyond increasing the SAM coverage.
  • Review the insurance coverage information on the website. Reminder: USATF is a permanent additional insured on the policy, and you can waive their insurance fees if you obtain a USATF sanction for your event.
  • There is no increase in the optional medical volunteer policy and the cyber liability policy.
  • Additional Insured requests my be made online after paying dues & insurance fees.
  • There is no increase in the insurance policy for RRCA Certified Coaches.

Your Organization’s Primary Contact with RRCA

  • When your organization joins the RRCA, and accesses the insurance program, your organization must assign a real person that will be responsible for compliance with RRCA as well as the insurance program requirements.
  • The Primary Contact must have their own unique individual profile in our membership system.
  • The Primary Contact must attest that they have reviewed the information on the RRCA website. We strongly recommend the Primary Contact also shares the information with the member organization’s leadership or board of directors.
  • Should a legal claim arise, this Primary Contact will be the point of contact with the RRCA, the insurance company, and assigned defense counsel. Therefore, NO DUMMY/generic or name swapping of an individual profile is allowed.
  • If you have a NEW Primary Contact for your organization, the previous primary contact person can assign the organization to the individual. Review our Memership “How to” page.
  • Need help changing your Primary Contact? Instruct the new Primary Contact to create their individual profile in our system. Then email [email protected] with your organization’s name and new Primary Contact name. We will assign the organization to the new Primary Contact for processing the membership renewal.
  • The Primary Contact will be the person that receives the COI via email from Insurance Management Group. We encourage you to save your organization’s COI to a shared file, so your approved race directors/program leaders can have access to it. Please allow 14-days after renewing to receive your organization’s COI. Check your SPAM folder and whitelist @insmgt.com with your email provider.

Group Music Licensing Service

  • The RRCA provides the group music licensing service to help our members legally comply when playing music during events. Learn more about music licensing legal responsibilities.
  • There is a new PRO, AllTrack. RRCA paid our legal counsel to review them; they are legitimate; and they can pursue legal action if events play music from their artists without an AllTrack license. We are working on adding AllTrack into our membership system. 
  • All PRO rates (ASCAP, BMI, GMR and AllTrack) are posted on the website.

Member’s Only Section

  • Insurance policies are posted in the Member’s Only Section. The 2025 policies will be posted soon.

Additional Coverage for Track & Field Events

The RRCA insurance program has always covered running events (no jumping) held on a track, but all jumping and throwing events are excluded. To help club and event organizers that host Track & Field meets, you can purchase additional coverage for Jumping & Field events through RRCA. Additional “Field” coverage is supplemental to an organization’s general liability coverage through RRCA. Your club or Event(s) organization, must first join RRCA, then you can access the supplemental coverage payment portal in the Members Only section.

This supplemental coverage includes: hurdles, steeple chase, shot put, discuss, high jump, long jump, triple jump, and pentathlon. The following events are EXCLUDED from coverage: poll vault, javelin, hammer throw. For records and certain competitions, you will still need to obtain a sanction from USATF for most Track & Field meets, but you can waive their insurance coverage if your event does not include the excluded activities.
